Personal Data Collected via the HTCE Portal
The HTCE Portal is the platform that manages access to buildings on the High Tech Campus Eindhoven. This service is provided by HTCE Site Management B.V. to tenants on the Campus.
Badge holders
For badge holders, the following personal data are recorded:
- Name (first name and surname)
- Passport photo
- Email address
- Campus company or organisation affiliation
- Supplier affiliation (in case of insourcing)
- Badge number, badge applicant and person responsible for the badge
- Badge validity period (start and end dates)
- Authorised zones and buildings, including validity periods
Visitors
For visitors, the following personal data are recorded:
- Name (first name and surname)
- Date and time of the visit
- Premises being visited
- Name of the host
Who has access to your data
Access to your personal data is restricted through a system of roles and permissions. Only those persons who need access to your data for the purpose of their role or function can view it. In addition, service providers involved in the technical infrastructure and applications underlying the website and HTCE Portal may have access to the data. We have concluded data processing agreements with these parties.
Data security
HTCE Site Management B.V. takes appropriate organisational and technical measures to protect your personal data against misuse, loss, unauthorised access and unwanted disclosure. Our ISO 27001-certified Information Security Management System underpins these measures. This applies to both our own employees and our service providers, with whom we make contractual agreements about confidentiality and security.
Retention periods
We retain your personal data no longer than necessary for the purposes for which it was collected, unless legal obligations require otherwise.
- Website data (newsletter subscriptions, enquiries): retained until a maximum of 1 year after an active opt-out by the data subject.
- HTCE Portal data (badge holders, visitors): retained for the duration of the access authorisation and in accordance with contractual and legal retention requirements.
- Analytical data: aggregated and anonymised data may be retained for trend analysis purposes.
Disclosure to 3rd parties
We do not sell or share your personal data with third parties for their own independent purposes. We may share data with trusted service providers (processors) who act on our behalf and under our instructions, with whom we have concluded data processing agreements in accordance with Article 28 GDPR. When you accept marketing or analytical cookies via our cookie consent banner, data may be shared with partners such as Google, HubSpot and LinkedIn as described in the cookie overview above. We may also be required to disclose personal data in response to requests from judicial or governmental authorities, or in connection with a security incident. Aggregated and anonymised data that cannot be traced back to an identifiable individual may be shared with third parties for statistical or research purposes.
Analytics and data enrichment
We use marketing and analytical tools (such as Google Analytics 4) to monitor usage of our website. This data is aggregated and not traceable to individual visitors. It is used for data analysis and trend recognition.
Data in the HTCE Portal may be supplemented with data from the anti-intrusion and access control system for security analysis and trend monitoring.
